Information We Collect
We collect and store personal information when you purchase services (such as Zoom classes) on PassCME.com. The information we collect may include:
- Your name
- Your email address and member-access status
- Your VTS, intended SCA exam date or educator role
- Your gender and UKG/IMG training background when entered during registration
- Identifiable information necessary to deliver the purchased services
- Your saved case progress, marking choices, mark-scheme feedback notes and generated Case Insights
- Member-area usage, including login sessions, active time, cases completed and the platform components used
- A randomly generated browser/device identifier, a broad browser and device label, and when that profile last used the member area
We do not collect payment or billing details directly. Payments are processed through third-party payment gateways. Payments for this member area may be processed by Stripe or PayPal.
How We Use Your Information
The information you provide is used for the following purposes:
- To process and deliver the services you purchase
- To communicate with you regarding your purchases
- To improve our services based on general user feedback
- To understand platform engagement and improve the cases, tools and learning resources clinicians use
- To identify possible account sharing, protect paid access and allow an administrator to suspend or restore an individual account
Gender and UKG/IMG information is not displayed to other clinicians and is restricted to authorised administrators. Administrators may view member contact, VTS, account-profile and engagement information. Marking performance is reported to administrators only as cohort-level averages; an individual clinician's marks, marking selections and Case Insights are not shown in the analytics dashboard. Authorised administrators can see the number of browser/device profiles associated with a member account during the previous 90 days and receive an alert when the count exceeds four. This is an abuse-prevention signal and may be reviewed before access is suspended.
We do not sell, share, or distribute your personal information to third parties for marketing or any other purposes.
Optional Case Insights
After completing one or more marking frameworks, you may choose whether PassCME uses AI to analyse your marking. No analysis request is made unless you select Yes, analyse my marking. Case Insights analyse the marks you selected and summarise any free-text feedback you entered in the marking schemes; it does not listen to, transcribe or independently re-mark your consultation.
When you opt in, PassCME sends OpenAI only the relevant case identifier, framework criteria, your Pass/Fail, Yes/No or N/A selections, any free-text mark-scheme feedback you entered, and a pseudonymous safety identifier. Do not enter real patient identifiers in those feedback boxes. Your name, email address and VTS are not included in the marking-analysis content. The request is configured with API response storage disabled. OpenAI processes this information as our technology provider, subject to its applicable business-data privacy and security terms.
PassCME stores the resulting case analysis and your cumulative insight profile so that it can update when you choose to analyse further cases. N/A responses are retained as marking choices but excluded from performance scoring and are not treated as failures. You can ask us to delete your saved marking insights by contacting support@passcme.com.
Your saved case report displays your account name, email address and VTS and includes a four-to-five-line summary generated from the Doctor Brief, Actor Notes and the case's clinical focus or diagnosis. Those identity details and case-summary materials are not included in the OpenAI marking-analysis request. You may choose to download the finished report as a PDF, copy it, print it or share it with a colleague, TPD, Educational Supervisor or senior clinician. PassCME does not send the report automatically; you remain in control of the recipient and sharing method.
Payment Processing
We use Stripe and PayPal to process member-area payments. When making a payment, you will complete it on the selected provider's protected checkout. PassCME does not receive or store your full card details or PayPal password. We retain a limited payment record, including the payment reference, plan purchased, amount, payment status, access period and the consent recorded at checkout, so that we can provide access and maintain an audit trail.

Cookies
We use cookies to store session information only. Cookies help us maintain your session during your visit to the site and provide a smoother user experience. You can adjust your browser settings to disable cookies, though this may impact your experience on the site.
Google Webmaster Tools
We use Google Webmaster Tools to monitor general, anonymized statistics about how visitors use our website. This data includes information such as browser type, operating system, and general geographic location. No personally identifiable information is collected or shared.
